Meeting Location and Date

The Venus Science Priorities for Laboratory Measurements and Instrument Definition Workshop will be conducted April 7–8, 2015, at the National Institute for Aerospace near the NASA Langley Research in Hampton, Virginia. 

The workshop plenary will be held in Room 101 on the NIA first floor. Click here for a detailed floor plan of the workshop meeting rooms. Attendees are encouraged to stay through April 9 to attend the Venus Exploration Analysis Group (VEXAG) meeting in the same location.

Purpose and Scope

The objectives of this two-day workshop are to (1) present, discuss, and document the status of the instrument technologies and the definition of new instruments; and (2) present, discuss, and document the status and needs of laboratory experiments in support of fundamental science as well as mission preparation. The objectives will be worked as guided by the recently released VEXAG Goals and Objectives, Pathways, and Technology Plan documents. The workshop presentations and discussions will form the basis of peer-reviewed papers or other documents that capture the relevant technologies and their readiness. These documents will be made available to the broader science and technology communities to enable them to attack the necessary problems. Participation by science, technology, and mission communities will be sought and encouraged for this workshop.

Workshop Structure and Organization —
The workshop is envisioned to be highly interactive. Invited talks will seed questions and invite active discussion.  The plenary briefings will provide short overviews and summary information and will lay a foundation for attendees to then contribute to the breakout sections.  Plenary topics envisioned include an overview of Venus Goals and Objectives, a summary of results from the recent Venus Explorations Targets workshop, and other topics with broad perspective. Opportunity will be provided during the plenary session for attendees to briefly (one slide, three minutes) share ideas, products, or concepts with the broad audience.  A poster session will be held early in the workshop to allow results of the interactions to feed into the workshop discussions. A significant portion of the time will be allocated to three parallel breakouts sessions focused on laboratory measurements and instrument needs for Venus orbit-, atmosphere-, and surface-based missions.

The scientific content will be developed by the Program Committee with the support of VEXAG.

Logistics —
The location of the workshop is at the National Institute of Aerospace just outside NASA’s Langley Research Center (LaRC). The dates for the workshop are April 7–8, 2015.Logistical support will be provided by LaRC, the Lunar and Planetary Institute (LPI), and Northrop Grumman.

Workshop presentations and documents will be archived on the VEXAG website to enable open and future access.

Meeting Format

The workshop will consist of plenary and breakout sessions and discussions and a poster session over a period of two days. There will be morning and afternoon oral sessions organized around topical themes, as well as some invited presentations. Ample time will be reserved for questions and discussion. A poster session will be held the morning of the first day.

The Workshop poster session will be held as part of the plenary activities on Aril 7th, as shown in the workshop program.  Anyone presenting a poster will have the opportunity to give a one minute, one slide preview of their poster at an oral plenary session preceding the poster session.

A self-pay group dinner is planned for 6:30 p.m. on Tuesday evening. Additional details will be available at the workshop.

We will be working with local restaurants to have pre-ordered lunches delivered to the workshop. If you wish to participate, please be sure to bring cash each morning for payment.

Information for Presenters

Oral Presentations —
A PC laptop, LCD projector, and speaker remote will be available for presentation of oral presentations during the scientific sessions. To aid the preloading process, create a folder on your flash drive/CD called “Venus” and place your PowerPoint presentation in that folder. Please include your last name in the naming of your presentation file. An IT technician will be available each morning from 8:00 to 9:00 a.m. and each afternoon from 1:00 to 1:30 .m. to assist in loading your talk.

Poster Presentations —

All posters will be available for viewing throughout the workshop and can be left for viewing during the VEXAG meeting.

*Onsite registration will be available by credit card only.  No other method of payment will be accepted. 

Credit card registrations:  Participants registering by credit card MUST use the secure electronic registration form.

Other methods of payment:  Those registering using any other method of payment (check, money order, traveler’s check, or wire transfer) must contact the USRA Meeting Registrar for detailed instructions.

Third-Party Payments:  Participants required to register using a third party (e.g., SATERN for NASA civil servants) should still register in advance using the electronic registration form. The confirmation e-mail you receive after registering will include payment instructions to submit to the third party. Please be aware, however, that your registration will not be considered complete until the funds have been received.

Cancellations:  Requests for cancellation with a fee refund (less a 10% processing fee) will only be accepted through March 24, 2015. Those who fail to attend and do not notify USRA prior to the March 24 deadline will forfeit their full fee.

Check-in:  The workshop check-in will be in the Room 101 vestibule and will open at 7:30 a.m. April 7 and 8, 2015. Onsite registration will be available by credit card only.

Accommodations and Transportation

A block of rooms has been secured at the Country Inn and Suites by Carlson with a rate of $83 plus tax per night and includes a hot breakfast. This block will accept reservations for the nights of April 6–10, 2015.
